Trademarks

Weaverbird Subs, the Weaverbird Subs logo and weaverbirdworks.com are trademarks of Weaverbird Subs. You may not use them in a way that suggests we endorse you, or in any business name, domain, product or social media account that could be confused with ours. Schools using Weaverbird Subs may name it and link to us when telling their staff and subs how to use it. Other names and logos, such as Stripe, Twilio, Google and Indeed, belong to their owners.

Text and call terms

Schools that use Weaverbird Subs can reach substitute teachers, teachers and staff, and administrators by text message and automated phone call. These terms apply to that program.

  • Consent. You only get texts or automated calls after you agree to them yourself in Weaverbird Subs, separately for each; no one can agree for you. Agreeing isn’t required to work as a sub or to use Weaverbird Subs.
  • What you’ll get. For subs: open sub jobs, jobs you’ve taken and reminders about them, and messages from the schools you sub for (on an automated job call, press 1 to take the job or 2 to pass). For teachers and staff who say they’re open to covering: requests to cover a class (press 1 to take it). For administrators: urgent alerts about jobs still open. For anyone: to-do reminders and other notifications you choose in your settings. Anything you can get by email can also come by text, and time-sensitive ones (such as requests waiting on you and approvals) by automated call, once you’ve turned texts or calls on yourself; you can turn off any kind, for texts, calls or email, in your settings, and your district can turn off any kind for everyone.
  • How often. Message frequency varies with how many jobs your schools post and the notifications you choose.
  • Quiet hours. You can set times when no texts or calls reach you; what would have been sent is kept in the app as a missed notification instead. Security messages always come through, and urgent alerts do unless you turn that off.
  • If your agreement is contested. If your district’s administrator asks us to review whether you agreed to texts or calls, none are sent to you while we review it.
  • Cost. Weaverbird Subs doesn’t charge you for the messages you receive; your school or district pays for them. Message and data rates from your mobile carrier may apply.
  • Stop anytime. Reply STOP to any text to stop texts, or turn off texts and calls in your Weaverbird Subs profile. Reply HELP for help, or email hello@weaverbirdworks.com.
  • Carriers are not liable for delayed or undelivered messages.
  • Privacy. We never share your phone number or consent with third parties for their marketing. See our Privacy Policy.

Accessibility

We want everyone who works in schools to be able to use Weaverbird Subs, and we aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA. If anything on our website or in the app is hard to use with a screen reader, keyboard or other assistive technology, email hello@weaverbirdworks.com and we’ll work with you to fix it or find another way to help.

What you’ll need to set up Weaverbird Subs

You don’t need it all ready before you sign up. Once you sign in, your Get set up checklist walks you through each of these, one step at a time: it takes you to the right page, shows exactly what to fill in, and checks each step off as you finish. Help is one click away on every page if you get stuck.

To get started

  • Your district’s name and how many campuses you have.
  • A card for after your free month. You won’t be charged during it, and you can cancel anytime.
  • Campus names, with each campus’s address and front office phone (they go in every sub packet).
  • Your admins: name and email for each person who’ll manage subs.
  • Your teacher and staff roster (a spreadsheet): name and email are required; campus, role, department, grade and phone are optional. Download the template
  • Your substitute roster (a spreadsheet): name and email are required; phone, subjects, grades and notes are optional. Download the template

Nice to have (add any time)

  • Bell schedules: each campus’s period names with their start and end times (or paste the schedule from your website, and Weaverbird Subs fills them in).
  • Planning periods and staff coverage: each teacher’s planning periods, and which office & support staff are approved to cover a classroom, so a job can be patched period by period. Staff choose for themselves whether they’re open to covering.
  • School structure: grade levels, departments and subjects. Starter lists fill in for you; edit them to match.
  • Sub packet details: where subs park and check in, and emergency procedures for each campus.
  • School calendar: no-school days, early releases and testing days.
  • Leave types: sick, personal and others, with yearly allowances if you track them.
  • Approval steps, if absence requests need a principal’s sign-off.
  • Pay rates for the payroll export: sub day, hourly and long-term rates, and an hourly rate for staff who cover a class.
  • Sick bank rules, if you run one: the enrollment window, how many days members give, and how many they can draw.
  • Job posting details (pay, requirements, how to apply), to recruit subs through job sites.
  • Lesson and emergency sub plans. Teachers can upload their own once they’re in.

Already keep your rosters in Google Sheets or your student information system? Connect them (OneRoster for ClassLink, PowerSchool, Infinite Campus, Skyward and others) and they stay up to date every night.

Nothing to set up for sign-in: everyone can use a password, or sign in with Google or Microsoft when their district email matches.
